Managing Location Billing Invoice Recipients

BAS clients enrolled in Location Premium Billing Services, along with their authorized insurance brokers, possess the ability to oversee the distribution of monthly location premium invoices with the MyEnroll360 “Manage Invoice Recipient” application.

What is a Location?

A location is a single employing entity within a single Client’s account. Each location can have its own MyEnroll360 Location Administrators (“LA”); each with the same or different MyEnroll360 access and application roles.

What is a Location Billing Invoice?

Clients that have Location Premium Billing Services use MyEnroll360 to allocate group insurance plans’ monthly premiums to employing locations. MyEnroll360 generates the locations’ monthly invoices and distributes them by email.

What is a Location Billing Administrator?

A Location Invoice Recipient (“LIR”) is a person designated to receive a location’s monthly premium invoices. An LIR can be:

  • A location’s MyEnroll360 full-rights Administrator (aka Location Administrator or “LA”).
  • A Client’s Master Administrator (Client’s super Administrators who can access all locations’ accounts within the Master Client’s accounts).
  • A Client and/or Location’s Group Email Box (aka Mailbox Invoice Recipient). A Mailbox LIR facilitates sending invoices to a centralized box where Client and/or Location Invoice Recipients can access the invoice emails.

Invoice Recipient Application Rules & Requirements

The Invoice Recipient Manager application allows for the quick & easy adding, editing, and terminating of individuals authorized to receive locations’ monthly premium invoices. Here are the rules for managing LIRs:

Primary Invoice Recipient (“PIR”) Defined

  1. There must be one (1) PIR per location.
  2. There can be only one (1) PIR per location.
  3. The PIR must be a person with his/her own email address and cannot be a shared mailbox.
  4. You cannot Terminate a PIR; you can only Replace a PIR. This ensures there is always at least one person who will receive the invoices.
  5. To remove a PIR, click the PIR’s corresponding Replace This will allow you to add your new PIR and automatically change the current PIR to a Secondary Invoice Recipient (“SIR”). If you don’t want the SIR, simply click the corresponding Terminate button.

Secondary Invoice Recipient Defined

  1. A Secondary Invoice Recipient (“SIR”) is any person.
  2. There does not need to be an SIR.
  3. There can be multiple SIRs.
  4. An SIR can be a “Mailbox” without a specifically named individual.
  5. There can be up to three (3) SIRs. HOWEVER, the sum of the Primary & Secondary Administrators’ email addresses character count cannot exceed 100.

How to beat the 100-character limit: Setup a shared mailbox on your email system and assign all your invoice recipients to that email address then setup that shared email address as a Secondary Invoice Recipient.

How to Access and Use the Invoice Recipient Manager Application

Access the Invoice Recipient Manager application (“IRM”) from the MyEnroll360 System Menu or the Global Search.
