VETS-4212 Reporting Deadline Approaching

Written by BAS | Aug 14, 2025 3:26:57 PM

Federal contractors and subcontractors with contracts or subcontracts valued at $150,000 or more must submit the VETS-4212 report to the U.S. Department of Labor between August 1 and September 30 each year. The 2025 filing deadline is September 30.

What the VETS-4212 Report Covers

The VETS-4212 report tracks the number of veterans in a contractor’s workforce, broken down by specific veteran categories such as:

  • Disabled veterans
  • Recently separated veterans (within the past three years)
  • Active duty wartime or campaign badge veterans
  • Armed forces service medal veterans

Contractors must report these figures within standard EEO job categories, such as executive, professional, technician, sales, clerical, craft worker, laborer, and service worker roles.

Why This Matters for HR

This annual report fulfills requirements under the Vietnam Era Veterans’ Readjustment Assistance Act (VEVRAA). Beyond compliance, it shows a company’s commitment to employing and advancing veterans in the workplace. Failing to submit the report or providing inaccurate information can result in penalties and may jeopardize eligibility for future federal contracts.

Who Must File

If your organization meets all of the following criteria, you are required to file the report, even if you do not employ any veterans:

  • Holds a federal contract or subcontract of $150,000 or more
  • Is subject to the affirmative action provisions of VEVRAA

Steps to File

  1. Gather data on all employees by job category and veteran status.
  2. Verify accuracy to ensure correct classification and counts.
  3. Log in to the DOL’s VETS-4212 submission portal to complete and submit the form.
  4. Submit by September 30 to remain in compliance.

Avoiding Common Errors

Late filings and inaccurate data are the most common compliance issues. HR teams should set internal deadlines well before September 30 and cross-check all data for accuracy before submission.

The VETS-4212 filing period is an opportunity for HR teams to assess and showcase their organization’s efforts to recruit and retain veterans. Accurate, timely filing not only meets legal obligations but also helps avoid potential penalties.
