Password Security: A Small Step That Protects a Lot

In today’s digital workplace, strong password practices are more than an IT issue; they're a shared responsibility that protects employee data, business operations, and company reputation. HR professionals play a key role in reminding teams that cybersecurity starts with small, everyday actions.

Here are a few simple, effective reminders to include in employee onboarding, training refreshers, or team meetings:

1. Use Strong, Unique Passwords Avoid common passwords (like "123456" or "Password!") and don’t reuse the same password across multiple sites. A good password should be long, include a mix of upper/lowercase letters, numbers, and symbols.
2. Don’t Share Passwords Even with trusted coworkers. Sharing credentials, even informally, can lead to serious breaches if accounts are compromised. If shared access is needed, request the proper system permissions instead.
3. Watch for Phishing Be cautious of emails or texts that ask you to reset your password, provide login credentials, or click suspicious links. When in doubt, report it or check with IT.
4. Enable Multi-Factor Authentication (MFA) If available, MFA adds a second layer of protection, such as a code sent to a phone, making it harder for attackers to gain access, even if they know your password.
5. Use a Password Manager Encourage employees to use a secure password manager to keep track of their credentials. It eliminates the need to memorize complex passwords and helps prevent password reuse.
